1. INTRODUCTION

Vanguard Football Lab – Soccer Academy (“the Academy”, “we”, “our”) is committed to protecting the privacy of children and families enrolled in our programs.

This Privacy Policy explains:

  • what information we collect

  • why we collect it

  • how we use and store it

  • when it may be shared

  • your rights regarding your information

This policy complies with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

2. INFORMATION WE COLLECT

Participant (Child) Information:

  • Full name

  • Date of birth

  • Gender (optional)

  • Medical information (allergies, injuries, conditions, relevant health concerns)

  • Emergency contact information

Parent/Guardian Information:

  • Full name

  • Phone number

  • Email address

  • Home address

  • Payment information (processed securely through our payment provider; we do not store credit card numbers)

We collect only the information required to safely and effectively operate our programs.

3. PURPOSE OF COLLECTION

We collect personal information in order to:

  • register participants in programs

  • plan appropriate age-level and skill-level training

  • ensure safety and respond to medical needs

  • communicate schedules, updates, or cancellations

  • manage payments, receipts, and administrative records

  • maintain attendance and performance tracking

  • meet insurance, facility, and safety requirements

We do not collect information unrelated to program delivery.

4. CONSENT

By completing the registration process and signing academy documents (waiver, policies, media consent), parents/guardians provide consent for the Academy to:

  • collect

  • use

  • store

  • and share (only when necessary)

their personal information and their child’s personal information for the purposes listed in this policy.

5. HOW WE STORE & PROTECT INFORMATION

We take reasonable physical, technical, and administrative measures to protect participant information.

  • Digital records are stored in secure, access-controlled systems (Google Drive, Google Sheets, registration forms).

  • Only authorized academy staff may access participant information.

  • Passwords are not shared with unauthorized individuals.

  • Personal information is never stored on unsecured devices or public systems.

  • Access is restricted strictly to operational and safety-related purposes.

6. SHARING INFORMATION WITH THIRD PARTIES

Personal information will only be shared when necessary, including:

Facility Operators:

To confirm attendance or meet safety and emergency requirements (e.g., BGC Don McGahan Clubhouse).

Insurance Providers:

If an incident report or claim must be filed.

Emergency Responders:

Paramedics, police, or hospital staff during medical emergencies.

We do NOT:

  • sell

  • rent

  • trade

  • or share personal information with marketers or unrelated third parties.

7. RETENTION PERIOD

Records may be retained for a reasonable period in order to:

  • satisfy insurance requirements

  • respond to potential disputes or claims

  • maintain historical participation and development records

After this period, information may be securely deleted, anonymized, or archived in compliance with legal requirements.

8. ACCESS, CORRECTION & DELETION RIGHTS

Parents/guardians have the right to:

  • request access to their personal information or their child’s information

  • request corrections if information is incomplete or inaccurate

  • request deletion or removal where legally and operationally appropriate

9. PHOTOS, VIDEOS & MEDIA

Use of photos or video footage is governed by the Media / Photo & Video Consent Form.
Only participants with active consent will appear in publicly used media.
