REFUND, CREDIT & CANCELLATION POLICY

This policy applies to all registration fees paid for programs operated by Vanguard Football Lab – Soccer Academy.

1. Refund Eligibility

Refunds are issued only under the following condition:

  • A refund is eligible up to 14 days before the participant’s first scheduled session of the registered program.

Refund requests must be submitted in writing by email to:

If approved, refunds will be processed back to the original method of payment.

2. No Refund After 14 Days Before Program Start

Once the 14-day deadline before the program start has passed, no refunds will be issued under any circumstance, including but not limited to:

  • injury or illness

  • schedule conflicts

  • school or family commitments

  • dissatisfaction with play time, coaching decisions, or grouping

  • personal or financial circumstances

This applies whether or not the player attends sessions.

3. Credits (Case-by-Case Basis)

At its sole discretion, the academy may offer a credit instead of a refund in situations such as:

  • a medical doctor provides documentation of a serious injury or illness

  • the program cannot be completed due to long-term medical treatment

Credits are:

  • valid for one (1) season only

  • non-transferable to other players

  • not exchangeable for cash

Approval of credits is not guaranteed and is decided by the academy on a case-by-case basis.

4. Academy Cancellation or Low Enrolment

If Vanguard Football Lab – Soccer Academy:

  • cancels a program, or

  • does not meet minimum enrolment requirements

then families will receive either:

  • a full refund, or

  • a credit for a future session (parent/guardian choice)

5. Dismissal for Conduct

No refund or credit will be provided if a player or parent/guardian is removed from the program due to:

  • violation of the Code of Conduct

  • disrespect or harassment toward staff, players, or parents

  • unsafe, reckless, or dangerous behaviour

  • aggressive, threatening, or abusive speech or actions

Behaviour expectations are outlined in the academy’s Code of Conduct.

6. Weather & Facility Conditions

Weather, outdoor conditions, and facility maintenance are outside the academy’s control. Cancellations due to:

  • inclement weather

  • unsafe field conditions

  • facility closures or restrictions

do not qualify for refunds.

Where possible, the academy will provide:

  • a rescheduled session, or

  • a credit only if more than two (2) sessions are cancelled in a single season

A full refund will not be issued unless the entire program is cancelled by the academy.

7. How to Request a Refund or Credit

To request a refund or credit, parents/guardians must email the academy and include:

  • child’s full name

  • program name/age group

  • reason for the request
